Evidence of identity

We are required to verify the identity and address of our clients before we can be engaged by them as their accountants. To do this we may make electronic checks with a credit reference agency.

This will show on your credit file as an identity check carried out by KHI Partners. It does not have any impact on your credit rating. When you engage us as your accountants, you confirm that you, and anyone else named on the engagement letter, are aware that your and their identity and address will be checked.

As part of this process and the engagement process of a new client we will be required to communicate and share information with your previous accountant. We will also require clearance from them and in most cases more information regarding you and your accounts and tax history.

At any time, we may also request documentary evidence of identity, address and/or source of funds. Our request will let you know by when you need to send us the documents. We may also request documentary evidence directly from any other person named on the engagement letter.

We accept no responsibility for documents which are lost in the post, or affected by postal delays. Proof of posting will not be accepted as proof of delivery.

Retaining ex-client data

We keep information about clients after they have left the firm for up to one year. After such time we will endeavour to contact the client and make them aware that we will be disposing off all documentation we possess regarding them including contact information such as email addresses and telephone numbers. We store ex client data as we may need to communicate this to their new accountants or the client themselves when we are no longer act as their accountants.
